FOLLOW UP AND FOLLOW THROUGH4 Basics of Thank You Notes
When was the last time you shopped apartment communities? Did you receive a thank you note or a follow up email? If research is correct, most likely you didn’t. (If you haven’t shopped anyone recently, ask your boss for a few hours off to shop some in another town. The learning experience will be invaluable).
Basically, the salesperson who has a good product, a good rapport with the buyer, and who stays in front of the buyer will close more sales. It only takes a smidge of time to write a thank you – and it could actually SAVE you time in the future, since if you have fewer apartments to lease, you’ll have less work to do!
Rules of thank you notes:
1. DO IT BEFORE THEY FORGET WHICH COMMUNITY WAS YOURS.
Write a thank you note within 72 hours of their visit. Include a photo sticker of yourself (see sidebar) so the buyer remembers you.
2. PROOFREAD THE NOTE.
No typos or grammatical errors please!
3. PERSONALIZE THE NOTE.
Keep it short and simple, but no generic notes, please. Include the prospect’s hot buttons, areas of interest, the name of her pet, or anything else unique from your conversation so the buyer knows you were listening.
4. ASK THE BUYER TO TAKE ACTION.
Be subtle, but the P.S. of your note should include a call to action.
EXAMPLES OF POST SCRIPT CALLS TO ACTION:
“Call me to discuss_______.”
“A gentle reminder that our special ends _______.”
“The home overlooking the pool you liked is still available. Give a call if you’d like to see it again.”
Thank you notes are classy, professional and will help you close more sales.

Dear Jane,
Thanks for taking the time to visit Rent & Retain Apartments. I enjoyed our time together and am available to discuss any questions you may have.
As agreed, I’ll follow up with you on Monday.
In the meantime, please call or email if you need anything at all.
